A standard step is marked with a blue S chip wherever it appears in a procedure or run step tree, next to a ver. badge carrying the version in use.

Create a standard step

Standard steps are listed in a table and use the same review process as procedures.
  1. In the Production section of the sidebar, click Standard Steps.
  2. Click Create Standard Step.
  3. In the Create New Standard Step dialog, enter a Title, pick a Type of Content or Datagrid, and optionally add a Description. Title and Type are required.
  4. Click Create Standard Step. ION opens the new standard step.
  5. Edit it as you would a regular step. You can add child steps for longer, more complicated operations, but a standard step can’t take another standard step as a child.
  6. Click Move to In Review and add reviewers as required.
  7. When all reviewers have signed off, the step moves to Released and can be copied into procedures and runs.

Create a new version of a standard step

To revise a released standard step, create a new version rather than editing the released one.
  1. Open the standard step and click Create New Version. The button is available once the standard step is Released or Archived.
  2. Edit the new Draft version’s steps and fields.
  3. Click Move to In Review, add reviewers, and release it the same way you released the first version.
When the new version is released, every procedure and not-yet-started run that references the standard step picks it up automatically.

Standard step dependencies

A standard step has its own Dependencies tab, where you set the execution order between its child steps. Edit those dependencies from the standard step itself, so every procedure that calls it picks up the same order. See Manage step dependencies.

Use a standard step

You can use a standard step anywhere a regular step can be used, including as a child step to standardize one part of a larger action. The tab you search from depends on where you’re adding it:
  • In a procedure, open the Add Step dialog and switch to its Add Existing Step tab. See Copy a step.
  • In a redline on a run, open a neighboring run step’s More actions menu, click Add Step Before, Add Step After, or Add Child Step, then switch the Create New Step dialog to its Copy from Library tab.
On either tab, search for the standard step by name and select it to copy it in.

Execute a standard step in a run

You execute a standard step the same way you execute a regular step in a run.
Initializing is when the run step takes on the details of the latest released version of the standard step and stops receiving further updates.
A standard step initializes when its run step’s status moves to In progress, Redline, Canceled, Failed, or Complete. At that point the run step’s details update to the latest released version, and the version it locked to is the one shown in the ver. badge in the step queue and next to the step title. Initializing also happens when a standard step is redlined into a run. Adding version 2 of the standard step “Torque Bolt” to a run keeps it at version 2 for good, even if the redlined step is never started.

Approvals

Contact your Customer Success Manager to enable role-based reviews.
When you finish updating a new version of a standard step, submit it for review. Click Move to In Review on the standard step, then add the roles, users, or teams that should review it. Reviewers get a standard step approval request in their notifications. Opening the request takes them to the standard step to leave a review. Once every reviewer approves, the standard step moves to Released on its own. Reviewers live in the Reviews section of the standard step’s review panel, with a progress bar over the requests. When your org configures required reviewer roles, each required role gets a row in that section with its Role: locked and an Action Required badge, and the row stays open until you pick the user who fills it. To configure which reviewer roles are required, see Configure standard step reviewer roles. You can also configure required approvers through the API:
With this input, one user holding the role whose roleId is 3 must approve the standard step before it can be released:

Labels

Labels are shared tags you apply across ION to group related records. For creating and deleting labels in the shared library, see Labels. To add a label to a standard step, click Add labels in the header panel, then type in the Search or create labels… box and select a label. To create a new label, type its name and select the create option.

Attachments

Attach reference files to a standard step, such as images, PDFs, and STEP/STP files, up to 100 MB each.
  1. On the standard step, open the Attachments section.
  2. Add a file by dragging it onto the upload area, clicking Browse files, or clicking Take a photo on a device with a camera.
To remove a file, use its delete control and confirm in the Delete attachment? dialog.
